Overview
An advantage to ERPlite is the existing links to accounting software such as Quickbooks. This allows the customer to continue use of their chosen accounting software. The following tutorial will demonstrate how easy it is to import/export data between ERPlite and Quickbooks.
Import QuickBooks Data into ERPLite
Note: QuickBooks Imports and Exports data in a Format called IIF file.
A) Export the data from QuickBooks into .IIF file.
Step 1: Open QuickBooks, Open the company that contains the lists you want to transfer. From the File menu, choose Utilities, then choose Export
Step 2: In the window that appears, select the lists that you want QuickBooks to include
in the export file.
Click OK.
Step 3: Enter a filename for the export file.
Click Save.
Step 4: Now open ERPLite, click QuickBooks/Peachtree in the Main Menu and QuickBooks Import in the SubMenu
The QuickBooks Import form appears, as shown below.
Step 5: Click the Browse button, 'Locate the 'iif' file for import ' window appears, as shown below. Select the file name and click Open.
Step 6: Click Start Import button.
You have imported all the records successfully into ERPLite. Now if you open Customers, Suppliers, Employees and Products tables, you will see all the imported records there.
Export Data From ERPLite To QuickBook
A) First Export ERPLite data into .IIF file.
Step 1: To Export data from ERPLite choose QuickBooks/Peachtree from Main Menu and QuickBooks Export from SubMenu.
The QuickBook Export Tools form appears as shown below.
Step 2: Click the Browse button. 'Create the 'iif' file for Export' screen appears as shown below.
Enter the file name and click Open button.
Step 3: Then click the Start Export button. You have exported the ERPLite data successfully into iif file. But,
If you have Purchase Orders or Sales Orders which do not have detail transactions, then QuickBooks does not accept those Purchase Orders and Sales Orders. Then you will see a screen, like the one shown below:
ERPLite stores those error records in a error file called C:\ExportErrorLog.txt and it exports all other valid records successfully. Go to C:\ drive and check for ExportErrorLog.txt file, which should look like the one shown below.
The choice is given to the users, whether to fix those errors and export again or delete those records. After fixing those errors in the appropriate tables, to export again, follow the steps 2 & 3 again.
B) Importing into QuickBooks:
Step 4: Now open QuickBooks, from the File menu, select Utilities, then select Import. The import window appears as shown below. Select the file name which you have exported from ERPLite, then press Open.
You have imported all the files successfully into QuickBooks. To see the customer records you have imported, click on the Customer List. The Customer:Job List appears as shown below. From the Lists menu, click on the list you want to display.
The customer screen appears as shown below.
To view the vendor records which you have imported, click on the Vendor List. The Vendor List appears as shown below. From the Lists menu, click on the list you want to display
The Vendor screen appears as shown below:
To view the Item records which you have imported, click on the Item List. The Item List appears as shown below. From the Lists menu, click on the list you want to display
The Item screen appears, as shown below:
To view the Purchase Orders which you have imported, click on the Vendors. The Vendor screen appears, as shown below.
Click on the PO List .
The Purchase Orders List appears as shown below. Click on the list you want to display.
The Purchase Order List appears as shown below:
To display the purchase order you want to preview. From the Print drop-down menu, choose Preview. The preview form appears as shown below:
To view the Invoices which you have imported, From the Lists menu, choose Chart of Accounts. The Chart of Accounts screen appears as shown below. Double-click on the invoice account, which you want to open its register.
The following screen appears:
Double click on INV to view the Invoice. The Invoice screen appears as shown below:
You have completed importing ERPLite data into QuickBooks.
