Quickbooks Data Sychronization : Rules
of the Game
Best Process
- Use QB as the master copy of static data (items, employees,
customers, vendors). Thus, enter static data in QB and then update
ERPlite.
- Use ERPlite for Purchase Orders and Sales Orders. Once the PO
or SO is completed, then transfer the bill and invoice transactions to QB.
Export from ERPlite to QB
- Items : New items will be added to QB as non-inventory.
Existing items are not updated.
- Invoices: transfers SO invoice with at least one partial shipment, as
well as: itemnumber,
ordered quantities, total cost per line, SO#,
memo, transaction date. If
the item is an inventory item, then the invoice will downcount inventory
quantities in QB. Will transfer duplicate
copies., which is avoided manually by the user setting the status
to exportable only for those Invoices to be transferred. The Customer and
the invoiced items must already be in QB or the transaction will be
rejected.
- Bills: transfers total cost per line for ordered
quantities, PO#, memo, transaction date, no itemnumer transferred.
Will transfer duplicate copies., which is avoided manually
by the user setting the status to exportable only for those Bills to be
transferred. The Vendor and the billed items must already be in QB or the
transaction will be rejected.
