ERPlitePro: Purchase Orders Tutorial

With ERPlitePro it has never been easier to create and manage purchase orders.  This tutorial will go through the process of creating and receiving a purchase order.

The Purchase Order in ERPLite PRO handles both inventory, expense and fixed asset items,  whereas ERPlte had separate forms for each(and does not handle Fixed Assets)..

1. Once the Purchase Order form is open, fill in the mandatory fields these fields can be recognized easily by there orange background color.

2. Select the following items for the Purchase Order.  Refer to the Screen capture below.

Item = ASY0008, Inv/Exp = Inventory,  #Ordered = 5

Item = PRD1000, Inv/Exp = Fixed Asset,  #Ordered = 1

 

Note:  Use the Inv/Exp field to categorize your Purchase Order items.  If the item is classified as "Inventory" then it will be counted in the Stores inventory location.   These items are usually components or subassemblies of a particular manufactured good.  Fixed Assets are items that are ordered for incompany use, in our example a PRD1000 was ordered, this item will not be counted in the Stores inventory location.  Similarly "Expense" items (ex: Travel expenses) will not show up in inventory counts.

3. Once the Purchase Order is ready change the status to "Released" to let other staff know that the particular PO has been acted upon.  When the items arrive at the loading dock for the PO#, open the purchase order receive form.

 

4. In the PO receiving form enter the quanity received in the "Receive" column.  Then press the "Receive" button, see  below…

Serial numbers of received goods canbe tracked via the "Add Serial Numbers' button. See the Serial Number Tracking Tutorial for more detail.

Then, you can print the Receiving Traveller which will show the items received: partnumber, quantity, Stores bin location, and serial numbers (if entered).

 

5. This tutorial demonstrated the standard procedure for creating and receiving PO's using ERPlite_Pro.  To verify that the inventory items have been received, (Only items categorized as "Inventory") run a ~Stores inventory evaluation report see below and check the inventory counts for accuracy..

Congratulations!!   you are now ready to create and manage your own Purchase Orders.

NOTE: You can make changes to a PO after it is released(say you forgot an item or need to change the quantity). Simply, change the status back to "Planned" . ERPlite will do a revision change on the PO. Make your changes and change the status back to released.
