ERPlitePRO: Customer Service with Serial/Lot Number Tracking 

ERPlite Pro provides serial/lot number tracking from procurement, <!--kadov_tag{{<spaces>}}--> <!--kadov_tag{{</spaces>}}-->through the shop floor to the customer site and back. Lot number tracking is identical to serial number tracking. You are allowed to have the same lot number in different inventory locations.

1.0 Receiving Purchase Orders

1.1 After creating a purchase order(s) for the items you wish to track with serial numbers, receive the units in the PO Receive form, then click on the Record Serial Numbers button, as shown in the screen shot below.

1.2  A new form willl popup that will allow the user to record serial numbers for a specific line item in the purchase order. Thus, click on the item that you wish to enter serial numbers, then enter the serial numbers as shown below. (( Note.a barcode reader is very useful for entering the serial numbers))  Close the form when finished.

 

1.3 Click on Receiving Traveller.  

At ship time(see example later in this tutorial), these serial numbers can be tracked to the customer location for customer service and warranty purposes.

 

2.0 Work Orders

2.1 Once the inventory items with serial numbers have been received into the system, <!--kadov_tag{{<spaces>}}--> <!--kadov_tag{{</spaces>}}-->the serial numbers can be transferred <!--kadov_tag{{<spaces>}}--> <!--kadov_tag{{</spaces>}}-->to work orders. Create a work order in the usual process(here the WO was created from a SO)  and process the WO to the creation of the picklist. <!--kadov_tag{{<spaces>}}--> <!--kadov_tag{{</spaces>}}-->

 

 

2.2 Once the transfer has been completed, click on the Record Serial Numbers button (shown in the picture above), which will open a form for tracking serial numbers. Now click on the Retrieve SN's button to retrieve a list of serial numbers from STORES and select the serial numbers  being transferred.

2.4    Then close the form to save the transferred serial numbers.  

2.5 Receive the WO.

Receive the serial numbers already assigned to this Work Order

Add the serial number of the finished good:

 

 

 

Note: the the Inventory/SN Transfer Form can also be used to move the location of the serial numbers to STORES. Set the quantity to 0, and both the from and to locations to STORES .

2.6. Don't forget to transfer all serial numbers associated with this WO at receive time to their new location in STORES. For any serial numbers that are scrapped, simply transfer those to the  SCRAP location.

3.0 Sales & Shipping Orders To Customers

3.1 If not done yet, Create a sales order normally, and then open your new sales order in the Ship Order form. Go through the usual shipping process, and once in the Shipment Editor:

3.2 Click on the Retrieve SN's button  and select the serial numbers being shipped.  

In this case, the serial numbers of parent product and the embedded CMP0001’s are all associated with the shipped product, ASY0008.

Click OK

 .

3.3 Print the packing list and verify that the correct serial numbers appear on the report, as shown below.

 

3.5 Serial numbers of embedded subassemblies can be picked and associated with the shipped parent part serial number.  Note, you can also transfer serial numbers using the Inventory Transfer form.

3.6. Complete the shipping process (don’t forget to click the SHIP button to  trigger the inventory downcounts and serial number transfers.)

3.7 You can check that the serial number has moved to the customer via:  Reports > Serial Number Locator

Then , click  GO and on the Serial Number Transfer History Button

Note that the History report knows that the kds3 is a CMP0001 even though  the serial number was shipped associated with the ASY0008

4.0 Field Tracking & RMA's

The serial numbers are tracked to the customer locations by the Field Tracking module and can be returned to the factory via the Returned Material Authorization process.

4.1  Switchboard > Customer Service > Click on RMA . Choose Customer and Part being returned

4.2 Click on the Serial Number Binoculars to retrieve the SN at the Customer Location.

4.3 Fill in the customer description of the problem and agreed to action. Give the RMA number to the customer.

 

4.4    When the failed unit appears at the Receiving Dock. Click Receive.

The Inventory Transfer (IT3019)  used to receive the Item into Inspection is automatically generated.

 

4.5. Print the Repair Work Order.

 

4.6  Once the Unit is repaired, enter the root cause and repair  done via the RMA Form in order to track statistics on the customer service transactions.  Ship the repaired Monitor back to the Customer in the normal way.
